Export your data

Skiplog keeps one copy of your account's data that you can download for yourself: use Export my data on the site screen in the app. This article shows where that is, what comes out in the file, and how it differs from the quarterly EA return.

Skiplog is not open yet, so anything on this page about what it does is what it is being built to do.

When you need this

Exporting your data gives you a file holding what Skiplog stores for your account and your site. Operators usually want it for one of three reasons: to keep a copy of the yard's records outside the app, to hand something over to an accountant or a consultant, or to take everything with them before closing the account.

It is not the file you send to the Environment Agency. The quarterly return is generated separately, one quarter at a time, in the column layout the EA asks for. This export is the wider copy: your account, your site details and your records as Skiplog holds them.

What is in the file

The export covers what Skiplog holds for your account, which is:

  • Your name and email address
  • Your site's details: name, address and postcode, permit or exemption number, region, contact email and phone, any position statement, and your return columns
  • Every transfer note you have recorded: the waste, its codes and weight, when it came in, form and containers, POPs and hazard details, carrier and vehicle, destination
  • The accounts of people you have added to your site, and the email addresses and invite links of anyone you have invited
  • Carrier, broker and dealer registrations you track, with their expiry dates
  • Generated quarterly returns and their totals
  • Receipts batches for Defra's waste tracking service, each note's reported mark, its Defra reference, and the date and reason from any rejection notice
  • A record of each correction to a note Defra had already accepted, with the reference it went in under and the old and new value
  • Subscription status and a Stripe customer reference, never card details
  • When you last used the signed-in app and which core actions you completed and when: a note recorded, a queue synced, a return exported. Skiplog keeps that part for 16 weeks
  • The network address and browser of each signed-in session

Your password is not exported in readable form: Skiplog stores it hashed. Notes you recorded offline and have not sent yet sit on that device rather than on the account, so send them before you export.

How to export your data

  1. Sign in to Skiplog

Sign in with your email address and password, on the tablet in the yard or on the office machine, whichever is easier to save a file from.

  2. Open the site screen

Account deletion and data export both sit on the site screen in the app, together, so you can take the copy and close the account from one place.

  3. Use Export my data

Press Export my data. It downloads everything on the account as a file.

  4. Save the file where you can find it again

Put it somewhere the yard keeps its paperwork: a backed-up office folder rather than the downloads list on a shared weighbridge tablet, since the file holds your site details and your carriers' registration numbers.

What to do next, or if it did not work

If the download did not reach you, try it again from the site screen on a machine where the browser is allowed to save files; a tablet in private browsing is the usual culprit.

If you wanted the file for the Environment Agency rather than for your own records, go to the quarterly EA return instead, which produces the CSV in the EA's column layout. If you wanted the rows for Defra's receipt of waste spreadsheet, that is a separate export too.

A lapsed trial does not lock your records away. They stay readable and exportable, so you can still take a copy even if you have not picked a plan. Everything else is kept while the account is open, because waste records have to span quarters and inspections, and a transfer note you remove comes off your register and returns but stays on file for the two years the regulations require.

Still stuck, or the file looks wrong against what you can see on screen? Email support@getskiplog.com with the site name and we will take a look.

Questions

Where is the export button?

On the site screen in the app, next to Delete my account. Export my data downloads everything on the account as a file.

Is this the same as the quarterly EA return?

No. The quarterly return is a one-click CSV for a single quarter in the EA's column layout, ready to submit. The account export is the wider copy of your account, site and records for your own keeping.

Does exporting change or remove anything?

No. It only downloads a copy. Your notes, registrations, returns and receipts batches stay exactly as they are.

Can I still export after my trial has lapsed?

Yes. A lapsed trial does not lock the records away: they stay readable and exportable.

Does the export include card details?

No. Skiplog stores subscription status and a Stripe customer reference only. Card details never touch Skiplog, so they are not in the file.

I am closing the account. What order should I do things in?

Export first, then delete. If you have added other people to your site, remove them on the site screen before deleting, so a yard's records are never deleted out from under them.

Are notes still sitting on a tablet included?

The export covers the records on your account. A note saved on a device and not yet synced is still on that device, so send it before you export. Working offline is covered in its own article.
