Track CBD licence and registration expiry dates

Skiplog keeps every carrier, broker and dealer registration your yard relies on in one list with its expiry date beside it. Anything with 30 days or less left to run is flagged on the registrations screen and carried into your site dashboard, so a lapsed registration does not turn up on a weighbridge ticket first.

Skiplog is not open yet, so anything on this page about what it does is what it is being built to do.

What this covers and when you need it

This article is about the registrations screen: the list of the carrier, broker and dealer registrations your yard works with, each one showing the expiry date you entered. Anything inside 30 days is flagged there for attention.

A registration runs out on a fixed date, and nobody from the regulator knocks on the gate the week before. The usual places that date lives are a photocopy in a drawer and somebody's memory.

Use it when you are:

  • taking on a haulier and want the registration number and expiry date on file before the first load
  • back from a renewal with a new certificate and a new date
  • checking, before a quarter closes, that nothing you have moved waste with has quietly lapsed

Skiplog tracks the registrations you enter and shows their expiry dates. Renewing is still done with the regulator; Skiplog's job is to put the dates somewhere you will actually look.

Set up expiry tracking

  1. Open the registrations screen

This is the list of every carrier, broker and dealer registration you track, with its expiry date beside it. It is the one place the yard's dates live, rather than a drawer and a memory.

  2. Add each registration you rely on

Enter the registration number and its expiry date from the certificate itself, not from a remembered renewal month. Both plans track an unlimited number of registrations on a site, so there is no reason to leave a haulier off the list.

  3. Read the dates back against the certificates

The list shows what Skiplog will work from, and the 30-day flag is counted back from the date on the line. Check each one against the paper in front of you while the certificates are still on the desk.

  4. Look at the 30-day flag as part of your week

Anything with 30 days or less to run is flagged for attention on the registrations screen, and your site dashboard shows the same compliance status overview beside the notes logged and the tonnage by waste type. Give it the same glance you give the quarter's figures.

  5. After a renewal, add the renewed certificate

Each certificate goes on the list as its own line. When the regulator has renewed a registration, add the renewed certificate with its number and the new expiry date as printed. That line is the one with time left on it, and the 30-day flag counts back from it. The earlier line keeps the date it was added under, so where a number appears twice, read the later date.

  6. On the Team plan, pull the dates into your calendar

The Team plan, £69 a month, includes expiry dates in a calendar you subscribe to, so a renewal sits in the same diary as the skip deliveries. The Yard plan, £39 a month, keeps the dates and the flag on screen.

If a registration is not flagged

Work through this in order:

  • Read the expiry date on the line. The flag covers registrations with 30 days or less left to run, so one with longer than that will show its date without being flagged yet.
  • Check the date against the certificate. If it was typed a month out, the flag is counted from the wrong day, and the line holds the date it was given, so add the certificate again with the date as printed and read from that line.
  • Look for a second line carrying the same registration number. After a renewal there will be two, the spent certificate and the renewed one. The renewed one carries the later date, and that is the line to work from.

One thing worth saying plainly: a flag is a prompt to act, not evidence that your site is compliant. Skiplog is built to help you meet the record keeping and renewal requirements. The registration itself, and the decision to move waste on it, stay with you, so keep checking the register and the certificate as you always have.

What to do next

Once the dates are on the list, the registration numbers you keep there are the same ones that go on a note at the weighbridge, so the carrier details on a transfer note and the expiry dates on this screen are worth checking in the same sitting. The help articles on writing a transfer note, on your first note, and on recording a load with no signal cover that side of the yard.

If you want everything off the system, the site screen has Export my data, which downloads it all as a file, and Delete my account, which removes your account, your site and every record on it at once, registrations included.

Questions

How far ahead does Skiplog flag a registration?

The flag covers registrations expiring within 30 days. Inside that window the line is flagged for attention on the registrations screen and in the compliance status overview on your site dashboard. Outside it, the expiry date still shows on the list so you can look it up whenever you want.

How many registrations can I track?

An unlimited number on one site, on either plan: Yard at £39 a month and Team at £69 a month. Paid once a year that is £390 and £690. Both plans cover one site, and every plan starts with a 30-day free trial.

What do I do when a registration is renewed?

Add the renewed certificate to the list with its number and its new expiry date as printed. That line carries the date with time left on it, and the 30-day flag counts back from it. The earlier line stays on the list showing the certificate it was added from, so where one number appears twice, read the later date.

Does Skiplog check the public register for me?

No. Skiplog tracks the registrations and expiry dates you enter. Checking a haulier's registration against the regulator's register, and renewing your own, are done outside Skiplog.

Can the expiry dates go into a calendar?

On the Team plan, yes: it includes expiry dates in a calendar you subscribe to. The Yard plan shows the dates and the 30-day flag on the registrations screen and on the dashboard.

Does a flagged registration mean my site is not compliant?

The flag is a prompt to look at a date, nothing more. Skiplog helps you meet the record keeping and renewal requirements; it does not judge your site and it cannot guarantee a compliance outcome that rests on your own records and your own decisions.

What happens to tracked registrations if I close the account?

Deleting your account from the site screen removes your account, your site and every record on it at once, registrations included. Export my data on the same screen downloads everything as a file first. If you have added other people to your site, remove them there first.
